Job DescriptionHall Capital Holdings, LLC is seeking an Office
Assistant to join our team! This individual will provide needed
support in a variety of areas within our business. We are looking
for an Office Assistant who has previous skills supporting both
general and comprehensive office functions; as well as someone who
has the ability and desire to grow with us and expand their skills
and duties over time. Requirements and Qualifications: Bachelors
Degree in Business, Marketing, Accounting, or related field 5+
years experience supporting general office functions to an entire
office, team or leadership Project Management experience - both
leading and participating in multiple projects at a time QuickBooks
proficiency highly preferred Strong MS Office applications skills -
Outlook, Excel, PowerPoint, Word, SharePoint Ability to handle
multiple projects at one time while prioritizing to ensure
deadlines are met Positive attitude, professional and friendly
demeanor Experience dealing with sensitive information and
understanding the importance of confidentiality This is not a
remote opportunity; this person will work full-time as part of a
small team within our Palm Harbor office Responsibilities:Along
with the general duties that come with an Office Assistant role,
such as greeting guests, answering phones, accepting deliveries,
checking the mail, running office errands, etc., this person will
be responsible for providing support and back-up to a variety of
functions within our business.This role will report directly to the
Office Administrator and not only provide support to him/her, but
to the Owner, Family and other team members as needed. These duties
include, but are not limited to: Calendar Support - review and help
manage calendars for the Office Administrator, Owner and Family,
daily, to provide any needed support and meeting preparation Travel
Support - assist with management of travel calendars, make and
confirm reservations for rental cars, private drivers, hotels,
meals, etc., print calendars for Owner and Family, assist with
management of travel company account, create travel itinerary
sheets/booklets as requested Office Support - ensure all supplies
are stocked throughout office, place orders for supplies as needed
and directed by Office Administrator and Owner, assist with filing,
printing/copying of files or documents, create presentations as
needed, assist with management of online electronic file database,
assist Office Administrator with Action Items ensuring timely
completion Billing/Invoice Support - provide assistance and back-up
to sorting mail, payment of invoices and recording transactions in
QuickBooks Accounting Support - provide assistance and back-up to
entering all banking transactions into QuickBooks, perform bank
reconciliations monthly, categorize credit card transactions and
record accordingly in QuickBooks Payroll Support - provide backup
to Office Administrator as needed to process company payroll within
QuickBooks Onboarding Support - ensure all new hire paperwork is
sent and completed accurately, assist with coordinating
background/drug screenings, setup desk/office with needed supplies
prior to first day, work with Office Administrator and Owner to
create orientation schedule and Day 1 packets Events/Holiday
Support - assist with planning of events, create needed materials
(invitations, flyers, etc.), mail invitations, cards and gifts,
order items as requested, wrap gifts and assist with any other
needsThe above responsibilities are not all inclusive. The Office
Assistant will also perform duties related to research, data input,
special projects, and other duties as assigned. Hall Capital
